Why Use QuickBill Premium?

Insights from an office manager for using this Dentrix feature in your practice and integrating it into your daily workflow.

Charlotte Skaggs, founder of Vector Dental Consulting and current columnist for the Dentrix Magazine For Office Managers column, recently shared her opinions about Dentrix QuickBill Premium and it’s import role in the revenue cycle management process.

What Dentrix feature should dental practices be using more and why?

I’m a big proponent of Dentrix QuickBill Premium. It’s beneficial for practices because you can send patients statements using mail, email, or text, which fits more conveniently into their daily lives.
This encourages patients to view their statements in a timelier manner than statements sent using traditional postal mail would allow. Subsequently, patients will pay their balance more quickly, which results in healthy cash flow for the office. Maintaining healthy cash flow is a critical part of a successful dental practice.

Dentrix tracks the history of electronically submitted statements so you can easily see which patients received statements and when they were sent. You can also view a copy of the statement, which can be very helpful when a patient calls with questions about their statement. Being able to answer billing questions quickly and confidently can help to encourage patients to pay their balance.

One of my favorite features in QuickBill Premium is the statuses for emailed statements, which will show you if the emailed statement was opened, viewed, and paid by the patient. This provides you with confirmation that the patient received their statement, which is something you can’t get with statements that are sent in the mail.

Another benefit of using QuickBill Premium is the payroll savings when sending statements because the doctor doesn’t have to pay administrative staff to print, fold, and mail statements manually, which can be a time-consuming process.

Why do you think practices aren’t using this feature?

Years ago, when I first started using QuickBill to mail statements, I was hesitant to use the feature because I was nervous that I would no longer have the ability to go through the statements and pick and choose the ones I wanted to send. There were typically a few accounts that I didn’t want to send a statement to if there was an issue with that account during that billing cycle.

When I speak to dental offices, I find that many of them are hesitant to use QuickBill Premium for the same reason. But in fact, you have just as much control of which statements are sent as you would if you printed and mailed them from your office.

With QuickBill Premium, you can choose which statements you want to send and how you want to send them: by mail, email, text, or a combination of these delivery options. You can view a preview of the statement and also have access to the Dentrix Ledger from the Verify Statements window if there is an account you need to investigate before sending them a statement.

How can a practice successfully integrate QuickBill Premium into their daily workflow?

You can integrate QuickBill Premium into your practice very easily! First, ask patients how they would prefer to receive their statements so they’re receiving them in the way that’s most convenient for them. That preference can be selected in the Dentrix Family File, and those settings will be used the next time statements are generated.

When it’s time to send statements in your practice, you would create them the same way you normally would in the Office Manager and select the Electronic Billing Submission icon. Then you can verify the statements you want to send and how you want to send them. You can view the Electronic Submission History in the Office Manager, or you can view the statement history in the Family File for an individual account.
